# Create and send sales quotes to customers from Jira

> Use the Raley Sales Quotes module to build customer quotes inside Jira, set currency and numbering, assign roles, and deliver branded PDF quotes to buyers.

## Overview

The Sales Quotes module lets your team create, manage, and send customer-facing quotes without leaving Jira. From initial setup to PDF delivery, the entire quoting process lives inside your Jira project.

**Required role:** Finance or higher

## Application Setup

Before creating your first quote, configure Sales Quotes in your Jira project:

1. Go to **Project Settings** in your Jira project left panel
2. Find **Raley Procurement — Sales Quotes** in the settings menu
3. Set the **default currency** for quotes
4. Configure the **quote number format** (prefix, starting number, and auto-increment)
5. Assign user roles — which team members can create, edit, and approve quotes

## Creating Your First Quote

1. Open your Jira project and go to **Apps → Sales Quotes**
2. Click **Create new quote**
3. Fill in the customer details — name, contact email, and billing address
4. Add line items: select a product from your catalog or enter a custom item with description and unit price
5. Apply any discounts at the line or order level
6. Set the quote expiry date
7. Click **Save**

The quote is now saved as a draft. Review it before sending.

## Generating a PDF

1. Open a saved quote
2. Click **Print / Export PDF**
3. The PDF uses the template configured in **Project Settings → Sales Quotes → PDF Customization**
4. Download the PDF or proceed to send it by email

To customize the PDF layout (logo, columns, footer text), go to **Project Settings → Sales Quotes → PDF Customization**.

## Sending a Quote by Email

If you have **Raley Emails Notifications** installed, you can send the PDF directly from the quote:

1. Open the quote and click **Send by Email**
2. Enter or confirm the recipient's email address
3. Select the email template to use (configured in Raley Emails Notifications)
4. Click **Send**

## Quote Statuses

| Status       | Meaning                                               |
| ------------ | ----------------------------------------------------- |
| **Draft**    | Quote is being prepared — not visible to the customer |
| **Sent**     | Quote has been delivered to the customer              |
| **Accepted** | Customer has confirmed acceptance                     |
| **Declined** | Customer has declined                                 |
| **Expired**  | Quote passed its expiry date without a response       |
